This Privacy Policy explains how Suryadeo Enterprises ("we", "us", "our"), operator of the Collab-One QMS platform, collects, uses and protects your personal information when you use our website and services.
1. Information we collect
- Account data: name, email address, phone number and password hash you provide at sign-up.
- Agency & inspection data: work orders, client records, inspection forms, geo-tagged site photographs, digital signatures and issued certificates you upload or create.
- Billing data: GSTIN, invoice records, payment ledger entries and settlement history. Card details are handled by our payment processor and never stored on our servers.
- Usage & device data: pages viewed, actions taken, IP address, browser and device information — collected via server logs and cookies.
2. How we use your information
- To provide the Collab-One QMS service (authentication, field forms, certificate issuance, report hosting).
- To generate GST-compliant invoices and maintain your payment ledger.
- To send operational emails (inspector deputation, order status changes, certificate expiry alerts, security notices).
- To monitor for abuse, prevent fraud and secure the platform.
- To improve the product using aggregated, non-identifying usage data.
3. Legal basis
We process personal data to perform our contract with you, to meet statutory record-keeping obligations applicable to inspection certificates, on the basis of our legitimate interest in securing and improving the platform, and with your consent where required by law.
4. Sharing your information
We do not sell your data. We share it only with infrastructure and email providers who process it on our behalf under contract, with your own clients where you publish certificates or reports to them through Collab-One QMS, and with authorities where disclosure is legally required.
5. Data retention
Inspection records and issued certificates are retained for the statutory validity period plus a reasonable archive window so that compliance history remains auditable. Account data is retained while your account is active and deleted on request thereafter, subject to legal retention duties.
6. Security
Data is transmitted over TLS, stored with access controls scoped to your agency tenant, and separated so that one agency cannot read another's records. No system is perfectly secure, but we work continuously to protect your information.
7. Your rights
You may request access to, correction of, or deletion of your personal data, and may object to certain processing. Write to support@collab-one.com and we will respond within a reasonable period.
8. Cookies
We use strictly necessary cookies for session management and a small number of analytics cookies to understand aggregate usage. You can block cookies in your browser, though the workspace may not function correctly without session cookies.
9. Children
Collab-One QMS is a business platform and is not directed at children under 18.
10. Changes to this policy
We may update this Policy from time to time. Material changes will be notified in-app or by email.
